Account data: Your name, email address, and encrypted password.
Usage data: Number of letters generated per month, letter categories used, jurisdiction selected (UK or US), account activity.
Letter input data: The information you enter into letter forms. Used solely to generate your letter and not stored permanently after generation.
Payment data: Processed by Stripe. We do not store card details — only your Stripe customer ID and payment status.
Technical data: IP address, browser type, pages visited. Collected via Google Analytics.
Stripe: Payment processing. PCI-DSS compliant.
Google Analytics: Anonymised usage analytics.
Google AdSense: Third-party advertising served on the free plan. Google may use cookies to personalise ads. You can opt out at adssettings.google.com.
Groq: AI letter generation. Your letter inputs are sent to Groq API to generate your letter. We do not send any personally identifiable information beyond what you enter into the letter form.
IONOS: Hosting and email. Data stored within the UK/EEA.
We do not sell your personal data.
Under UK GDPR you have the right to: access your personal data, correct inaccurate data, request deletion, restrict or object to processing, and data portability. Contact us at hello@letterdeck.co.uk. We will respond within one calendar month.
You also have the right to lodge a complaint with the Information Commissioner Office (ICO) at ico.org.uk.
Account data: Retained while your account is active, plus 12 months after closure.
Letter input data: Not stored permanently after generation.
Payment records: Retained for 7 years in line with HMRC requirements.
Essential cookies: Required for the site to function (login sessions, security).
Analytics cookies: Google Analytics uses cookies to collect anonymised usage data. You can opt out via our cookie banner.
Advertising cookies: Free plan users may be served personalised ads by Google AdSense using cookies. You can opt out at adssettings.google.com. Pro plan subscribers are not served advertising.
We do not use any other tracking or third-party marketing cookies.
Groq API may process data outside the UK/EEA. Where this occurs, appropriate safeguards are in place in accordance with UK GDPR requirements.
